Dear Delegates, Participants, and Partners of the 21st GA of APAY,
Warmest greetings!
The 21st GA is approaching fast! In just 4 months, we will gather in Chennai, India. As we prepare for these significant events, we are equally excited to meet in person to witness and celebrate one of the largest international gatherings of the APAY! We would like to share additional information through the 2nd Bulletin for you to better prepare for your travel to India and have meaningful participation. Below are some logistics and program information for your preparations:
REGISTRATION DEADLINE 31 JULY 2023

JOIN THE PROMOTION PACKAGE: THE REGISTRATION FEE IS WAIVED
If a National Movement registers more than 10 youth participants or more than 5 women participants to join the Youth Assembly or Gender Equity Forum, their registration fee of US$150 is waived.
*Condition applies: The participants must join the GA from September 15-20, 2023
HOTEL ROOMS/ ACCOMMODATION BOOKINGS
Participants can directly book/ reserve their choice of room at Hyatt Regency and Courtyard Chennai. Below are the links for the hotel bookings:

The hotel room rates are subsidised for the GA participants, so use the above link to book your hotel. You can click “EDIT” on the top right of the website to provide details of your required rooms and the number of guests.

YMCA and YWCA Booking
Participants can book their accommodation in YMCA/ YWCA by indicating this in the registration form. The accommodation fee must be paid with the registration, participation and green fees to the APAY through bank transfer when you submit your registration.

VISA MATTERS
Participants are advised to process their India visa as soon as possible. Please enquire at the Indian Consulate/ Embassy in your country for the appropriate visa you require to travel to India. You need to check with the Indian Embassy about what type of visa you require to attend the conference in India. Following are the types of visas that can be availed to participate in the GA:
i. Tourist (Some nationalities can attend Conferences on a tourist visa)
ii. Business
iii. Conference
Most nationalities can apply for an e-Visa; some countries get visas on arrival. Few countries need to apply in person at the embassy or through an agency assigned by the Indian Embassy. For some countries, the visa process takes longer, so we strongly advise you to start your visa process as soon as possible! If you provided your passport details when you registered for the 21st GA, you would receive the invitation letters for visa purposes.
TRAVEL INSURANCE
Participants of the Youth Assembly, Gender Equity Forum and General Assembly are requested to buy travel insurance for their stay in India. Your insurance must cover the costs related to any
unforeseen incidences like medical emergencies incurred during the assembly. The APAY or the National Council of YMCAs of India will not be responsible for any such emergency expenses of the participants. National movements must ensure their endorsed participants have valid travel insurance.
EXHIBITION BOOTHS
During the General Assembly, exhibition booths will be set up for the national and local YMCAs. This is an opportunity to showcase their best practices to the GA delegates. We invite you to register for an exhibition booth for a nominal fee. Please click here to register for the exhibition booth.
ELECTION OF APAY BOARD
New leadership for the next quadrennial will assume office during the General Assembly. The election of the APAY Board will be held during the assembly. Lay (volunteer) leaders of the YMCAs are eligible to be a part of the new leadership. Please contact your national movement for details. The election nomination submission deadline is June 20, 2023.
